Streamline is looking for an Administrator in Kamloops, BC to perform front reception, administration, and office management duties, while providing administrative support to leaders and teams (including calendars, travel arrangements, meeting coordination, expense support and other duties as assigned). The Office Manager is expected to work independently on projects from conception to completion, prioritize competing demands, and handle confidential matters with discretion while maintaining a professional manner at all times.  

Responsibilities

  • Finance/ Administration: 
    • prepare customer invoices
    • Process vendor invoices reviewing for accuracy and submit for approval and woth the Accounts Payable department to ensure payment terms are met
    • Manage customer payments and follow up on overdue accounts
  • Preform monthly reconciliation of balance sheet accounts and reconcile customer software licenses
  • Manage front reception during scheduled office hours; answer phones, forward calls, take messages, and greet visitors in a courteous and professional manner
  • Provide general office support including photocopying, scanning, filing, preparing bound presentation books, and other administrative tasks, including coordinating the ordering and dissemination of printed materials (e.g., division forms, business cards, stationery, annual calendars)
  • Manage incoming and outgoing mail, couriers, and shipments/packages
  • Maintain and organize electronic files and records in accordance with company expectations
  • Coordinate and assist with meetings and events (e.g., room bookings, conference calls, invitations, catering/lunches, safety meetings, social events, trade shows, etc.) 
  • Book travel arrangements as requested (hotels, flights, car rentals, reservations, etc.)
  • Research and streamline the most efficient and cost-effective ways to manage the office from a cost, operational and process perspective
  • Manage all aspects of weekly, seasonal and annual office/building maintenance as applicable (e.g., cleaning, recycling/garbage access, security, yard maintenance, snow removal, etc.)
  • Ensure office equipment and supplies are ready for use (e.g., supplies, color cart, service calls/repairs)

You Possess

  • Grade 12 and progressive experience 4-6 years, or post-secondary certificate or diploma program and basic experience 1-3 years is required
  • Post-secondary education in a related field or training in office management/administration is preferred.
  • AP/AR and/or Bookkeeping experience
  • Proficient in Microsoft Excel, Word and Outlook; ability to quickly learn new applications (e.g., ERP systems, internal applications, Google Workspace) as required.
  • Strong written and verbal communication skills with a professional customer-service mindset (internal and external)
  • Excellent organizational skills and keen attention to detail; strong concern for the accuracy and quality of work
  • Ability to prioritize and execute efficiently in a fast-paced environment; flexible and adaptable to changing needs
  • Professional appearance and demeanor whether in person, via email, or on the telephone
  • Responsible, dependable, ethical, and able to handle confidential matters with discretion and integrity
  • Strong interpersonal skills and ability to work effectively in a diverse working environment

Working Conditions 

  • Full-time vacation coverage may be required
  • Occasional overtime may be required
  • Part-time, in-office position (not remote/hybrid), unless otherwise specified
